What information do we collect?

If you contact us, request a quote, or book a call, we may receive your name, business contact details, the contents of your enquiry, and information about the project you want to discuss. Quote requests may include technical files and notes that you choose to upload or provide.

Cloudflare hosts and delivers this website. In providing its services, Cloudflare may process visitors’ IP addresses, traffic-routing data, and related request metadata. Cloudflare’s own privacy information and retention practices also apply to that processing.

How do we use it?

We use enquiry and booking information to respond to you, assess and prepare quotes, arrange calls, and discuss or provide our services. We use technical website information to deliver and secure the site and diagnose problems.

We rely on steps taken at your request before entering a contract, and on our legitimate interests in responding to business enquiries and operating a secure website. Where we need to keep records to meet a legal obligation, we use the information for that purpose.

Services used for enquiries and bookings

The quote link on this website takes you to a Google Forms page. The form is hosted by Google and is not embedded in this website. When you submit it, Google receives the information you provide and technical information about your connection. Form responses and uploaded files are stored in ProtoGT’s Google Drive and can be accessed by the ProtoGT team. Google’s privacy information and terms also apply. The booking page embeds Calendly. Calendly collects information about visitors who interact with its embed and uses cookies and similar technologies. The Calendly cookie banner is displayed on the booking page so visitors can manage their preferences. You can also open the booking page directly on Calendly. How long do we keep information?

Google Forms responses and uploaded files, enquiries, bookings, and project records are currently kept without a scheduled deletion date. We review records and retain personal information only while it remains necessary for handling enquiries, providing our services, meeting legal and accounting requirements, or resolving disputes. When information is no longer needed for those purposes, we delete or anonymise it where appropriate. Some records may need to be retained for longer where a legal obligation or an active dispute requires it.

Cookies and similar technologies

The website does not include first-party analytics or advertising scripts. The booking page loads Calendly in an embedded frame, where Calendly may use cookies and similar technologies. Calendly’s cookie banner lets visitors manage their preferences. The quote form opens on Google’s website; it is not embedded in ProtoGT’s website, and Google’s own privacy and cookie information applies when you use it.

Your data protection rights

Depending on the circumstances, you can ask us for a copy of your personal information, ask us to correct or erase it, restrict or object to how we use it, or request a portable copy. Where we rely on consent, you can withdraw it at any time. These rights are subject to legal conditions and exemptions.
